Job Requisition - Definition, Process, and Best Practices
What is Job Requisition?
Job Requisition is the formal, documented request to fill a new position or vacancy within an organization. It’s the initial step in the hiring process where a department or manager officially requests HR to begin recruiting for a specific role, including details about the position’s requirements, budget approval, and business justification.
Key components include:
Position details and title
Department information
Budget confirmation
Hiring manager details
Required approvals
Timeline expectations
Salary range
Headcount justification
What Goes Into a Job Requisition
Position Basics
First things first – you need to spell out exactly what you’re looking for. Is it a full-time developer? A part-time sales rep? Contract project manager? Getting these details right upfront saves everyone headaches later.
Why You Need This Role
Here’s where you explain why this hire matters. Maybe your team’s drowning in work, or you’ve got a new project coming up. For example, if your social media’s falling behind, you might write: “Need a social media expert to boost our online presence and drive more engagement.”
Quick Job Overview
You don’t need the full novel yet, but give HR enough to work with. Like for a developer role: “Looking for someone who knows their way around Python and cloud platforms, with about 3 years of hands-on experience.”
Money Talk
Let’s be real – what’s this going to cost? You need to:
Check if there’s budget for it
Know the salary range you can offer
Get the right people to sign off on it
How It Actually Works
Getting Started
It usually kicks off when a manager realizes they need help. Maybe someone quit, or the workload’s exploding. They fill out the form explaining why they need this role.
Getting Approved
This is where patience comes in handy. HR checks if everything makes sense, then it goes up the chain for approvals. Yes, sometimes it feels like forever.
Going Live
Once approved, HR turns your requisition into a job posting that actually attracts people. Think job boards, LinkedIn, internal postings – wherever your ideal candidates hang out.
The Good Stuff About Having a System
Smoother Hiring
When everyone knows the drill, hiring gets easier. No more confusion about who does what or when. It’s like having a GPS for hiring – you know exactly where you’re going.
Smart Money Moves
This stops those “oops” hires – you know, when someone hires without checking if there’s actually budget for it. Everything’s planned and accounted for.
Everything's On Record
Need to check why you hired someone last year? Or how many roles you filled? It’s all there in black and white.
The Tricky Parts
Waiting Game
Sometimes getting approvals feels like watching paint dry. Especially in big companies where five people need to sign off on everything.
Missing Pieces
Ever played telephone? That’s what happens when requisitions aren’t filled out properly. “We need someone technical” isn’t exactly helpful for HR.
Tech Headaches
Getting old systems to talk to new hiring tools can be like trying to get your grandparents’ flip phone to run Instagram.
Making It Work Better
Use Templates
Have a standard form that catches all the important stuff. Like a checklist for packing – you don’t want to forget anything important.
Keep Talking
HR and hiring managers need to be on the same page. Regular catch-ups prevent those “Oh, that’s not what I meant” moments.
Train People
Show managers how to fill these out right. A little training upfront saves everyone time later.
Use Good Tools
Modern HR software can make this whole process smooth as butter. No more chasing paper forms around the office.
